
Processing Supervisor
Job Summary:
Under the direction of the Cataloging and Processing Manager, this role oversees the Processing Department’s operations, managing high-volume workflows and multiple deadlines. Recruits, develops, and evaluates staff, and collaborates with the management team to maintain schedules, internal communications, and the department’s SharePoint site. Supports the development and implementation of a customer service model aligned with system priorities.
Core Competencies and Key Responsibilities
Leadership & Staff Development
- Supervise and manage full- and part-time processing staff; develop staff strengths and coach for improved performance.
- Set performance expectations and goals for all processing staff.
- Participate in recruitment, training, and evaluation of staff.
- Foster a positive, inclusive, and productive team environment.
- Lead regular team meetings and communicate updates effectively.
- Maintain a strong understanding of BCPL policies and branch procedures, communicate updates to staff, and serve as a key resource for guidance and clarification.
Workflow & Operational Management
- Organize, plan, and monitor high-volume processing workflows to meet deadlines.
- Ensure materials are physically processed in accordance with library standards and cataloging specifications.
- Create, maintain, and adjust department schedules and staffing plans.
- Manage staff timesheet submissions and ensure scheduling compliance.
- Collaborate with Collection Development Support Supervisor to streamline workflows and resolve shared work issues.
- Manage inventory of processing supplies; coordinate with Department Manager and Purchasing Agent to purchase as needed.
- Routinely serve as the Person-in-Charge, which includes responding to onsite staff concerns, addressing building problems, documenting security incidents, and providing follow-up to the department manager.
Problem Solving & Initiative
- Monitor and improve turnaround times for materials preparation.
- Analyze problems, assess processes, and adapt BCPL practices to achieve desired outcomes.
- Identify creative solutions to meet operational and system needs.
- Demonstrate initiative by embracing change and taking measured risks to improve processes.
Quality Assurance
- Conduct regular quality checks on processed materials to ensure consistency and accuracy.
- Monitor and improve quality control measures and staff training to uphold standards.
- Address errors or inconsistencies in processing and take corrective action.
Collaboration & Communication
- Work with the Cataloging and Processing management team to identify department needs and implement changes.
- Liaise between Collection Development Support Supervisor, Circulation Managers, and Library Supervisors, representing the Cataloging and Processing Department, to gather feedback and improve services.
- Maintain and update department SharePoint pages and communication channels.
- Communicate effectively and respectfully with staff, management and customers to resolve issues.
- Participate in system-wide initiatives and cross-departmental projects.
Customer Service Excellence
- Use critical thinking and good judgment in responding to service requests and resolving conflicts.
- Collaborate to sustain and improve the department customer service model so that it remains aligned with BCPL’s mission and system priorities.
- Provide exceptional service to internal and external customers of diverse backgrounds and abilities.
Data & Reporting
- Collect and maintain statistical data to support staffing and procedural decisions.
- Generate and analyze reports on processing volume, turnaround time, and staff productivity.
- Use date to inform decisions and recommend improvements to workflows and resource allocation.
Continuous Learning & Resourcefulness
- Engage proactively in Professional development and share knowledge within the team.
- Serve as a resource and support for colleagues and other departments.
- Maintain up-to-date knowledge of library processing tools, systems, and best practices.
- Maintain awareness of the physical work environment and respond to security issues in coordination with staff.

Job Requirements:
Minimum Qualifications
- Bachelor's Degree.
- Minimum 3 years of progressively responsible library experience.
- At least 1 year of supervisory experience preferred.
- Must be able to meet scheduling requirements by arriving to work on time and staying until the end of one's shift.
- Must be able to work evenings and weekends and be flexible with one's work schedule to meet daily operational needs.
- Must have access to transportation, as needed, to fulfill the responsibilities of the position, including meetings, events and activities at other branches or offsite.
Physical Requirements
- Ability to lift up to 25 lbs. and push/pull carts weighing up to 100 lbs.
- Ability to bend, kneel, crouch, and stretch for extended periods.
- Ability to read small print and sit for extended periods.
- Ability to hold and squeeze glue bottles for extended periods.
